01Who we are

Velaris Web ("we", "us") builds websites, software and AI automation for small businesses. We are responsible for the personal information described in this policy.

02Information you give us

When you fill in a form, choose a plan, chat with Ava (our website assistant), book a call or message us, we receive what you choose to share. That usually includes:

• Your name, email address and phone or WhatsApp number
• Your business name, website, industry and country
• The plan, budget, timeline and project details you tell us about
• The content of your messages, including your conversation with Ava

Please don't send us passwords, payment card details or sensitive personal information through the website.

03Information collected automatically

We measure how the website is used with our own simple, cookie-free counter. It records daily totals: page views, the pages visited, the website that referred a visitor, device type (mobile, tablet or desktop), country, and how many people clicked WhatsApp or sent a form. These totals are not linked to you, and we do not store your IP address for them.

To make those counts work, your browser keeps two small flags in local storage (whether it already visited today and whether it has visited before). During a visit, session storage remembers the page you landed on, the referring website and any campaign tags in the link. If you send an enquiry, those three details are attached to it so we know how you found us.

We do not use advertising or tracking cookies. Our hosting provider processes IP addresses in short-lived server logs to deliver the site and protect it from abuse.

• To understand which pages and channels work, and improve the website
• To keep the website and our systems secure, and to meet legal obligations

We do not sell or rent your personal information, and we do not make decisions about you that have legal or similarly significant effects using automated processing alone.

05Legal bases

Where data protection laws such as the UK GDPR or EU GDPR apply, we rely on: steps you ask us to take before a contract and performance of a contract (replying to enquiries, delivering services); our legitimate interests (running and improving our business, measuring the website, security), balanced against your rights; your consent where we ask for it, which you can withdraw at any time; and legal obligations (for example tax and accounting records).

06Who we share it with

We use trusted providers to run the website and our business. They process information on our behalf and only for these purposes:

• Vercel – website hosting and server functions
• Upstash – the private database that stores enquiries and our anonymous website counts
• OpenAI – generates Ava's replies; your chat messages are sent to it to produce a response
• Calendly – call booking, when you choose to book
• WhatsApp (Meta) and our email provider – when you message or email us, and for internal alerts about new enquiries
• Google Fonts, cdnjs (Cloudflare) and jsDelivr – deliver fonts and code libraries, which means they receive your IP address when the page loads
• Sanity – stores our website content; it does not receive your enquiry details

We may also disclose information if required by law, or to protect our rights, our clients or the public.

07International transfers

Some of our providers store or process data in the United States and other countries. Where the law requires it, we rely on safeguards such as the providers' standard contractual clauses or equivalent protections.

08How long we keep it

• Enquiries that don't become clients: up to 24 months after our last contact, then deleted
• Client records: for as long as we work together, then as long as needed for tax, accounting and legal purposes
• Anonymous website counts: about 13 months

You can ask us to delete your enquiry sooner at any time.

09Your rights

Depending on where you live, you can ask us to access, correct, delete or export your personal information, restrict or object to how we use it, and withdraw consent. Email hello@velarisweb.com and we will respond within 30 days. We may need to confirm your identity first.

If you are unhappy with how we handle your information, you can also complain to your local data protection authority.

10Security

We use encrypted connections (HTTPS), access controls and private storage with restricted access. No method of transmission or storage is completely secure, but we work to protect your information and will let you know if a breach affects you where the law requires it.

11Children

Our website and services are for businesses and are not directed at children under 16. We do not knowingly collect their personal information.

12Changes to this policy

We may update this policy as our services change. The date at the top shows when it was last updated, and significant changes will be highlighted on this page.
